Job Title:Secretary 2 (School Nutrition)

Description of Duties:
Under the general supervision of the program manager, uses independent judgment and initiative to perform a variety of clerical, office management, and advanced secretarial duties in support of management, staff, and operations for the School Nutrition Division. This fast-paced, accountability-driven environment requires an organized and positive individual who is a team player and is comfortable multitasking and receiving direction from the program manager, the division director, and specialists/consultants. Duties include, but are not limited to, composing, editing, proofreading, copying, and distributing correspondence, reports, and other materials; serving as a positive and effective communications link between School Nutrition  programs and internal/external contacts; conducting comprehensive clerical research using a variety of resources to generate reports and respond to requests; completing tasks and assignments associated with administrative support functions in areas such as basic bookkeeping; establishing and maintaining filing and record-keeping systems and reference manuals/materials; coordinating personnel action paperwork for assigned unit/program; scheduling and preparing meetings and conferences; coordinating staff travel and lodging arrangements; monitoring, purchasing, and maintaining office supplies, equipment, and/or facilities; entering data from forms, records, and/or reports using a computer; greeting visitors and answering phone calls and redirecting calls in staff absence; projecting a positive, polished, and professional image in all internal and external interactions; attending appropriate training related to duties and responsibilities as directed by the program manager or division director; and completing other duties/assignments as assigned.
Minimum Qualifications:
Two (2) years of related clerical, secretarial, or administrative support experience OR an Associate’s Degree in a business-related field OR one (1) year of experience as a Secretary 1.  Must have strong computer skills, including proficiency in Microsoft Office (Word, Excel, and PowerPoint) and effective communication and teamwork skills. Note:  A criminal background check and a credit check will be conducted for the candidate selected for this position, as required for state purchasing card holders. 
Preferred Qualifications:
Preference will be given to applicants who, in addition to meeting the minimum qualifications, possess one or more of the following:
• Documented experience effectively working as key support to multiple personnel in a busy office environment
• Three (3) or more years of experience providing administrative/clerical support for a state government agency or a local school system 
• Proficiency in PeopleSoft Purchasing/Procurement financial modules and FileMaker Pro
• Experience effectively using the internet to research information
• Bachelor’s or Associate’s Degree in business administration or a related field
• Proven successful experience working in a team environment with other support staff
Salary/Benefits:
Pay grade 9 – Annual salary range is $20,039.92 (minimum) to $35,061.61 (maximum).  Hiring salary range is typically $20,039.92 - $28,000.00, commensurate with current employment and relevant education/training and work experience, salary history, and available funding.  Benefit options include life, disability, dental and health insurance, annual/sick leave, and Employees’ Retirement or Teachers’ Retirement.
