Description of Duties:Under limited supervision, uses independent judgment and initiative to perform a variety of clerical, office management, and advanced secretarial/administrative support duties in support of the Director of School Improvement and the staff of the School and District Effectiveness Division. This fast-paced, accountability-driven environment requires an organized individual who is skilled at multitasking and receiving direction from the director and the program managers. Duties include, but are not limited to, composing, editing, proofreading, copying, and distributing correspondence, reports, and other materials; serving as the communications link between the School and District Effectiveness Division and internal/external contacts; conducting comprehensive clerical research using a variety of resources to generate reports and respond to requests; completing tasks and assignments associated with administrative support functions in areas such purchasing, filing and record-keeping systems, and reference manuals/materials; scheduling and preparing for meetings and conferences; coordinating staff travel and lodging arrangements; processing and monitoring travel expense reimbursement requests through the state’s online travel system; monitoring and maintaining office supplies, equipment, and/or facilities; entering data from forms, records, and/or reports using a computer; preparing invoices for payment; answering/redirecting calls in staff absence; attending, as appropriate, training related to duties and responsibilities as requested by the Director of School and District Effectiveness; assisting with the preparation of items and related information for the monthly State Board of Education meetings; and assisting other divisions within the Office of School Improvement as needed or as assigned. NOTE: A criminal background check and credit check will be conducted for the candidate selected for this position, as required for state purchasing card users.
Minimum Qualifications:An Associate’s degree in business from an accredited college or university -OR- Two (2) years of experience providing administrative support to a mid- or senior-level manager(s).
Preferred Qualifications:Preference will be given to applicants who, in addition to meeting the minimum qualifications, possess one or more of the following: • Bachelor’s degree in business administration or a related field • Three (3) or more years of experience providing administrative/clerical support for a state government agency or a local school system • Excellent typing skills • Proficiency in PeopleSoft Purchasing/Procurement • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Access • Successful experience as key administrative support to multiple managers and staff in a busy office environment
Salary/Benefits:Pay Grade F – Annual salary range $22,520 (minimum) to $38,283 (maximum). **Hiring salary is commensurate with current employment, relevant education/training and work experience; State Personnel Board Rule 47-1-.12 and available funding. Benefit options include life, disability, dental and health insurance, annual/sick leave, and Employees’ Retirement or Teachers’ Retirement.
